Privacy and ethics
Handing over work, or letting AI help with it, means trusting someone with your business. Here's how I look after that trust.
Your data and GDPR
- You stay in control. Your customers' data stays yours. I only access what I need for the job.
- Set up in your accounts. Tools are set up in your name, never mine, so nothing is stuck with me if we stop working together.
- Privacy settings checked. I use paid business plans where possible and switch off model training on your data.
- Sensitive details stay out. Health information and similar personal details never go into AI tools.
- A clear record. You get a list of every tool and connection, so you know where your data goes and can switch anything off.
- Your privacy notice. I'll flag if your privacy notice needs updating to mention the tools you use.
Using AI responsibly
- A person always checks. Nothing reaches a customer without you, or me, reading it first.
- No decisions about people. I don't set up AI to make decisions about customers, staff or applicants.
- Facts get checked. AI can get things wrong, so dates, prices and anything important are checked by a person.
- Still sounds like you. AI helps you write. It doesn't pretend to be someone else, and it never writes fake reviews or testimonials.
- Only where it helps. If a job is better done by a person, or doesn't need changing at all, I'll tell you.
- Honest about limits. I'm a VA, not a lawyer. For anything complex, I'll point you to a data protection specialist.
Questions
The things people usually ask.
I'm not techy. Is this for me?
Yes. Most of my clients aren't. I explain everything in plain English, and you get a walkthrough video to go back to whenever you need it.
Which AI tool will I need?
It depends on what you already use. If you're on Microsoft 365 or Google Workspace, there's often a good option built in. I'll recommend one main tool rather than a handful you'll never open.
Will I need to pay for an AI tool as well?
Yes. Everything I set up runs on a paid AI plan, which usually costs around £18 to £25 a month, paid directly to the provider. Paid plans give you better privacy settings and fewer limits than free ones. If you already pay for one, I'll use that. I'll confirm the cost before you commit, and point out anything you're paying for but don't need.
Will it sound like a robot?
Not if it's set up properly. Capturing your tone of voice is part of every AI Set-Up, and you check everything before it goes out.
Do my customers need to know I use AI?
It depends on how you use it. If AI only helps you draft things you then check and send, a line in your privacy notice is usually enough. If customers might be chatting to an automated assistant, they should be told. I'll go through what applies to you.
What happens if we stop working together?
Everything is set up in your accounts, so you keep it all. I hand back any access and we switch off anything you don't want to keep running.

Yes. Just ask, and we can look at which jobs could be automated alongside what I already do for you.
